Hogrefe Training Terms and Conditions

- Please ensure that you have read the course outline on our website, to ensure the course will meet your training needs.
- Submission of a payment does not equate to a guaranteed place on the course. In the event that a course is full or qualification requirements are not met, Hogrefe reserves the right to refund payment and cancel the booking.
- Bookings that have not been paid for are considered on the ‘waiting list’ and cannot be confirmed until payment is made in full.
- Invoices will be sent to the name submitted and must be paid in pounds sterling by credit card or BACS. We also accept purchase orders from most UK organisations.
- Delegates will receive course instructions directly from Hogrefe to the email address provided at the time of booking.
- All course fees must be received in full prior to the start of the course.
- Hogrefe reserves the right to update future course fees from the date they come into effect.
- All prices for training are shown exclusive of VAT on our website. 20% VAT is applicable for all UK-based customers.
Changing or cancelling a course date
While we understand that sickness, work priorities, and life events can happen, the later the change or cancellation, the less likely it is we can fill your space. Where possible we will try to work with you to rebook you to a new date, but our courses do book up very quickly and this is not always possible; please contact us as soon as you possibly can. Changes to bookings can be made free of charge for 1 week after the booking was originally made (provided it was made more than 6 weeks prior to the date of training); after that a minimum £50 + VAT fee will always apply; this is to cover costs incurred by the company.
Where notice is provided to Hogrefe, delegate names/details may be changed (i.e. sending an alternative delegate). This is offered free of charge if payment details do not need to be changed, or for £50 + VAT if a refund is necessary. If materials have already been shipped, it is the delegates’ responsibility to ensure the materials are transferred.
Changing to a different course date
If you need to change to a different course date, charges may apply; this is to cover our own fees and resources. Please note the following terms, which are considered agreed upon booking:
- More than 4 weeks’ notice: £50 + VAT fee applies
- 2-4 weeks’ notice: 50% of the fee
- Less than 2 weeks’ notice: 100% of the fee
Cancellation charges
We hope that you will be able to attend one of our courses once you have made the booking. However, in the event that you need to cancel altogether, we must receive notice in writing by email and the following charges will apply due to fees incurred by the company.
- More than 6 weeks' notice: £50 + VAT fee applies
- 2-6 weeks’ notice: 50% of the fee
- Less than 2 weeks’ notice: 100% of the fee
Cancellation charges will depend on when the written notice is received. No refund will be made for non-attendance of the course.
Cancellation of course by Hogrefe Ltd
It may be necessary for reasons beyond Hogrefe Ltd’s control to change the course’s timing, date, venue or instructor, or to modify the content. We reserve the right to cancel a course up to three weeks before the course start date in case of insufficient numbers. In these cases we will always work with delegates to try to find an alternative date where possible, or offer a refund where not possible. Only in extreme circumstances (e.g. network/wifi outage, tutor illness) would we cancel a course on the day of training*; again we would always work with delegates to re-book where possible, or refund where necessary.
*Please note: it is the delegate’s responsibility to provide Hogrefe Ltd with an emergency contact number at which you will normally be available.
Course materials
Some training courses require the shipment of paper materials to the delegate prior to the course date. In this instance we have signposted throughout our booking system the need to ensure we have an accurate, up-to-date shipping address to send these materials, generally 2 weeks prior to the course commencement date.
Charges will be passed onto the delegate in the event that course materials have to be re-sent due to an incorrect delivery address having been provided, or in the event that a different delivery address is provided after the materials have already been dispatched.
Data protection notice
Hogrefe Ltd processes and stores personal data in accordance with the requirements of our data protection policy. Personal data may be used for operational and administrative purposes, but will not be released to non-associated third parties. You can read more about our privacy policy here.
